Navigating your Wedding Flowers and COVID-19

Whew! What a roller-coaster we are on. One day we’re going about our business and almost over-night we are social distancing and changing all the plans we thought we had for 2020 and now 2021 


You’ve been planning this day for months, maybe years. And here you are, almost to the finish line and mere weeks away from ‘I do’ and a pandemic! 

So on top of trying to figure out how you’re going to do your job from home, or losing your job, or having to go into battle as a health care professional and face this down every day (THANK YOU isn’t enough!), you’ve got to scramble and move a wedding.

It’s not over yet. But, at this point, you’ve done everything you can to reschedule. You’ve hopefully retained all of your suppliers. Now you just wait this thing out until your new date arrives and wait for the miracle vaccine to roll out. What do you do in the meantime? We’ve put together a little guide on how to navigate your wedding flowers and COVID-19


  • COMMUNICATE . Reach out to your florist for a phone or video call if they haven’t already, to discuss the date change. Let them know about any other changes such as suppliers, locations, times, etc.
  • READ your contract carefully. Ask your florist if you have any questions regarding payments, reductions in totals, cancellation of line items, and fluctuations in flower pricing. Please do not ask for work arounds or exceptions to your contract. Contracts protect both you as the consumer and the business. Florists are notoriously kind and generous people. Please, do not put us in a situation where we have to go against our nature and say no so that we can stay in business. 
  • FOLLOW your florist on social media and watch their posts/stories and updates regarding how COVID-19 is affecting the floral industry. They should be sharing valuable information that will help you to understand the breadth of the situation and allow you to take a wider view when you discuss changes with your florist for the new date.
  • BE OPEN to your florist’s suggestions when it comes to how to navigate your wedding flowers and COVID-19. He/She may need to adapt your current wedding design plan to the new season and date, as well as the availability of certain flowers. The cut flower industry is taking hard hit from Corona Virus and it isn’t likely to rebound quickly.
  • BE GENEROUS if you can. Understand that your florist has lost a significant amount of income that he/she was counting on for the first half of the year. This is lost income that we were counting on. We know that many of our couples are in the same boat financially and are grateful that you are still going forward with your wedding in the future. If you can, please consider applying a payment to your outstanding balance, even if it is now not due for several months. (Florists reading this, make sure you are being wise about spending deposits as well!)
  • BE UNDERSTANDING. This is also our first time trying to navigate your wedding flowers and COVID-19. Also keep in mind the time and money your florist has already put into creating the day of your dreams. He/she has likely written flower recipes, mapped out timelines, and even may have ordered vases and supplies. We are currently using our time to manage our children who are home from school/childcare, help our parents, scramble to understand and secure financial relief to pay our immediate bills and stay relevant on social media.
  • Please SUPPORT your florist (and all of your suppliers) through this time by liking and sharing their posts on social media, encouraging your engaged friends to start the planning process (we are still doing virtual consultations for 2021& 2022 dates!), and even writing an online review about how they’ve been so far.

I hope you know that we at Balla Florists deeply care for our couples. We are absolutely heart-broken that you have to wait to be married. To have to postpone the celebration of your love is gut-wrenching. We are absolutely grateful, however, that you have chosen to postpone, not cancel. And we will be with you every step of the way until you finally walk down the aisle. We just ask that you love us back however you can too.

COVID-19 And Your Wedding Flowers

First of all, to all my clients and future clients, thank you for your support of our small business and choosing to purchase fresh, high quality floral designs for your wedding! We appreciate you so much!

I’m sure some of you may be a little nervous about your upcoming wedding especially because we have so many international clients this year.We really hope this situation resolves quickly and that everyone stays safe and healthy.

Health, yours and ours, is a priority. If you would like to reschedule your wedding or event date due to COVID-19 please let us know as soon as possible. As per our client contracts, final payments are due 3 weeks prior to the wedding date. If you let us know of a rescheduling before this date there will be no additional costs and all monies paid (the non-refundable retainer) will be moved to the new date. We have a 3 week cut off as this is because flowers need to be pre-ordered specifically for your event and blooms coming from Holland need this amount of time prior to the wedding date so that they can be sourced, packed and shipped. If you reschedule your wedding after the 3 week and 10 days marks there will be additional expenses incurred that we will need to pass on to you.. We’d be happy to make mock ups of your wedding bouquet or centrepieces with these flowers in the event this occurs or we can donate them to a local company or deliver them to someone on your behalf to brighten their day. Our wholesalers are also working with multiple cancelled events and extra product that they, as small businesses like us, can’t absorb either.

Depending on how this situation plays out we may need to ask you to be flexible with your flower varieties if airlines and ground freight of flowers become limited or borders are closed. Also, some flower varieties may become scarce and see a shortage of supply as flower farms and wholesalers are also slowing or stopping operations temporarily to minimize costs in the coming weeks. We will do our very best to work closely with our trusted wholesalers to provide you with the most beautiful blooms for your upcoming wedding. Keep in mind that if you are rescheduling to 2022 the cost of flowers will also be higher as the market price of flowers increases every year. We may need to substitute some flowers or change around the designs in order to stay within your current budget.

We also strongly suggest getting wedding insurance which helps cover costs if your wedding needs to be cancelled last minute. Wedding insurance will not cover the current situation with COVID-19 but is a good idea at anytime as you never know when something might happen that will disrupt your plans.

If you are recently engaged and haven’t booked your flowers yet we are still taking bookings for 2021 ( depending on availability)as well as 2022. If you are still planning a wedding for 2021 it is highly recommended that you book your wedding suppliers ASAP, securing them with a contract and a booking fee. Don’t be afraid to ask suppliers what their rebooking/rescheduling policies look like in case this pandemic lasts longer. You also don’t want to be without your favourite venue and suppliers if you are still planning a 2021 celebration. Many spring and early summer 2021 weddings are having to reschedule their weddings into the Autumn and winter of 2021 and early 2022 which may make some dates unavailable for venues, photographers, planners, florists and other vendors.

We would like all Balla Florists customers to know that we are very excited to be able to inform you all that we are open for all occasion flowers, and Yes including weddings….

We are taking orders for 2020 and 2021 Micro-wedding. If you would like a consultation. These are possible either via an online meeting or at our premises here in Balla where we can discuss your needs at a safe distance. We have had approx 10 Micro weddings in the last Month and they have all been so beautiful and intimate.

Our popular dates for 2021, but we would still have some availability so please do get in touch to arrange a chat with us about your date.

Some advise on rescheduling your wedding

What a crazy time we are living through right now. It’s so strange that we are faced with some extraordinary compromises. Of course one decision a lot of couples are facing is whether or not they should reschedule their Wedding Day. So many questions? Is it safe to have a wedding then? Numbers …… DO we need to change?
How long do we wait to get married, 6 months, a year , 18 months?

Sure if only we had a genie and a lamp but we don’t – I have a little advise for couples going through this anxious confusion at the moment —

Tips for Postponing your wedding:
1. I have had this chat with so many couples and the most difficult decision is to actually reschedule. It’s amazing, you will feel so relieved once the decision is made.
2. Chat with your wedding coordinator and pick 2 or 3 dates that you are happy with
3. Chat with all of your suppliers and hopefully most of them will be available for one of the dates – If not they will guide you in the direction of one of their piers who will help you. As a professional in the Wedding Industry we know so many suppliers and we know who to recommend.
5. So your new date is confirmed and you are happy with it and all your suppliers, now mark your original date with a special memory. Maybe have zoom ceremony, with a celebrant in an online commitment – with the rings and champers! Nothing like having two wedding anniversaries! 2020 will never be forgotton so have this celebration and it will be something to tell your Grandchildren!

This is an emotional rollcoaster so whatever you decide to do you will feel up and down. Keep your circle of life positive and take it step by step. Replanning your wedding again is certainly unprecedented and Balla Florists sincerely empathise with you all.

There will be so many ways you can celebrate your occasion. Some are becoming virtually creative whilst others will celebrate with 2 or 3 people. Keep your chin up – Your day will be beautiful xxxxxxx

Dorothy & Padraig Friday 13th September 2019

Beautiful hoops we created . Our moongate was booked so we came up with this idea for Dorothy- We prepared x 3 large sections which featured as the main Backdrop in the marquee at their reception at The Aran Islands Hotel , Inis Mór, Aran Islands, Co Galway


Dorothy McMahon, is One half of The Wedding Marketers in Galway. I was lucky to meet Dorothy through my Friend Sinéad Nic Gabhann who is the other half of this very talented duo. Sinéad is a beautiful award winning wedding singer and herself and Dorothy were school pals. I assisted the girls with one of their clients The Ardilaun Hotel In Galway on Wedding tips for their couples and prop ideas for this infamous Galway Landmark. This is how i first met Dorothy.

And the wedding plans begin!

Dorothy was also preparing for own wedding to her sweetheart Padraig who owns and runs another famous Galway landmark, McDonagh’s Fish & Chips! In my Galway College days this was a haunt of ours . The Fish & chips with a side of Mushy peas from McDonaghs ! Pure food Love! http://www.mcdonaghs.net/

So i was thrilled to be asked to prepare their wedding flowers . And defying superstition this beautiful couple were married on Friday 13th september 2019.

Dorothy was a joy to deal with as She said she would love bird cages and really bright flowers – So Balla Florists were allowed what we do best . We could be creative! be flamboyant! be colourful! and use all our favourite flowers! Dahlias, ranunculas, stock, lisianthus, peonies and delphiniums! A dream come through -.

Transport via Water

We sent everything over via ferry with the year-round ferry passenger service Aran Island Ferries from Galway Harbour. https://www.aranislandferries.com/

Their wedding came together so well – beautiful wedding bouquets, Florals hoops for flowergirls and stunning buttonholes.

Dorothy’s centrepieces were divine. We provided our Tall gold stands. They are amazing for adding height and a WOW factor to a room. Here a lush arrangement with bright florals and a mix of beautifully scented roses, ranunculus, Peony roses and lisianthus . We also used alternating lower centrepieces filling our gold birdcages with beautiful florals . They filled the room with scent and romance. The stands can be set out along tables or to form a top table arrangement. Smaller vases and candlesticks along the table finish the look.
